Managing company and admin settings in the RingCentral app

If you're an admin for your company, you can manage company and administrative settings in the RingCentral desktop and web app. You can change messaging settings, company information, users and licenses, and more.

Managing your company settings in the RingCentral app
-----------------------------------------------------

In the RingCentral desktop and web app, click **Company settings** in the navigation bar.

The **Company settings** page is separated into several sections: Company info, User management, Phone system, Billing, and Advanced settings.

### Company info

* **More company information** : Click **Visit Admin Portal** to change your company schedule, address, caller ID name, and directory assistance information.  

### User management

* **Manage users and licenses** : Add, edit, and deactivate users. Visit the [Admin Portal](http://service.ringcentral.com "") to manage a user's phone.
* **Advanced user settings** : Click **Visit Admin Portal** to manage more advanced settings like your users' passwords, voicemail PINs, and incoming call handling settings.

### Phone system

#### Incoming calls

* **Advanced company call handling settings** : Click **Visit Admin Portal** to add custom answering rules for company calls.  

#### Phone numbers

* **Port In numbers** : Click **Start port in** to port in existing numbers from your current service provider to RingCentral.  

### Billing

* **Billing information** : Click **Visit Admin Portal** to view billing details and history, manage your payment method, and see usage and calling rates.
* **Purchase**: Purchase new licenses, phone numbers, devices, etc.

### Advanced settings

* **Supported headsets for users on this account** : Click **Manage** to manage headset brands.
* **Advanced settings** : Click**Visit Admin Portal** to manage advanced video settings, view reports, back up data with Archiver, and more.

Managing your admin settings in the RingCentral app

In the navigation bar, click **Settings** , then **Administration**.

The **Administration** page is separated into General admin,Webinar, Messaging, Public teams, and Private teams. Depending on permissions set by your company's super admin, some options may not be available.

### General admin

* **Desktop app version report** : Click **View** to run a report of the desktop app versions that users with your company are using.  

### Webinar

* **Customization options** : Click the pencil **Edit** icons to manage settings for registration questions, branding, and automated emails. Changes will apply to all of your company's future webinars.
* **Apps and integrations**: Configure third-party apps and integrations that simplify workflows and boost productivity.

#### Company settings

* **Manage app super admins** : View, [add](https://support.ringcentral.com/article-v2/Adding-and-removing-RingCentral-app-admins.html?brand=RingCentral&product=RingEX&language=en_US ""), and manage your company's super admins who can request data exports and manage teams.

* **[Manage security settings for posting messages via email](https://support.ringcentral.com/article-v2/Configuring-security-validation-rules-for-messages-via-email-in-the-RingCentral-app.html?brand=RingCentral&product=RingEX&language=en_US "")**: Control which emails sent to a conversation email address get posted in the chat.
* **Manage Giphy sharing** : Adjust the settings for sharing GIFs using Giphy. Select *No* to turn off sharing, or select a max rating of *G* to *All, including unrated*.

#### Data retention settings

* **Manage data retention policy** : Determine the duration of time before messages get deleted. By default, all messages are kept forever, but [data retention policies](https://support.ringcentral.com/article-v2/RingCentral-data-retention-policies.html?brand=RingCentral&product=RingEX&language=en_US "") allow you to have messages automatically deleted after a specific period of time.

Note: Messages sent before setting your data retention policy will remain, even if they have been in the system longer than the duration of time set in **Manage data retention policy** . You will need to [submit a support ticket](https://support.ringcentral.com/article-v2/4362.html?brand=RC_US&product=RingEX&language=en_US "") to delete those messages.

#### Integrations settings

**[Manage file sharing](https://support.ringcentral.com/article-v2/Managing-file-sharing-sources.html?brand=RingCentral&product=RingEX&language=en_US "")**: Select which file sharing sources employees can use. When file sharing services are disabled, they won't be available to select files when uploading.

#### External guest settings

Adjust your [external guest settings](https://support.ringcentral.com/article-v2/Configuring-external-guest-settings-in-the-RingCentral-app.html?brand=RingCentral&product=RingEX&language=en_US ""):

* **External guest communications**: Turn on to allow new messages from all external guests, except domains on the block list. When this is turned off, new messages will be blocked from all external guests except those on the allow list.
* **Domain allow/block list**: Manage the external company domains and personal email addresses that are allowed to initiate conversations with your users.

#### Message data export

* **Enable [message data export](https://support.ringcentral.com/article-v2/Exporting-message-data-in-the-RingCentral-app.html?brand=RingCentral&product=RingEX&language=en_US "")**: Turn on to allow designated admins to export the message history of the account or specific teams or users.
* **Request export**: Download data from the entire account or specific teams and users within a specified date range.
* **Export history**: Displays export history.

### Public teams

* **Team administration**: View, join, manage, and archive public teams.  

### Private teams

* **Team administration**: View, join, manage, and archive private teams.
