Managing text messages in the RingCentral app

You can forward a text message, delete a text message or conversation, and more in the RingCentral mobile app or the RingCentral app on your desktop or web browser.

Managing text messages in the RingCentral app on your desktop or web browser

You can access your text messages by clicking Text in the left navigation bar. In the left panel, a list of all active conversations is organized from newest to oldest.

Note: If you don’t see Text in the left navigation bar, you can customize your tabs.

Note: Your ability to do these depends on permissions set by your company admin.

Deleting a conversation

  1. Click Text in the left navigation bar.
  2. Hover over the conversation you’d like to delete and click the three-dot More icon.
  3. Click Delete in the dropdown.

  1. In the Delete conversation? window, click Delete again.
Note: You can't recover a conversation after you’ve deleted it.

Deleting a text message in a conversation

  1. Click Text in the left navigation bar.
  2. Select a conversation in the left panel.
  3. In the main panel, hover over the text message you’d like to delete, and click the Delete trash icon on the right.

  1. In the Delete text message? window, click Delete again.

Blocking a number

  1. Click Text in the left navigation bar.
  2. Hover over the contact or phone number you’d like to block, and click the three-dot More icon.
  3. Click Block number in the dropdown.

Note: This isn’t available for group text messages.

Unblocking a number

  1. Click Text in the left navigation bar.
  2. Hover over the contact or phone number you’d like to unblock, and click the three-dot More icon.
  3. Click Unblock number in the dropdown.

Calling a contact

  1. Click Text in the left navigation bar.
  2. Select a conversation in the left panel.
  3. Click the Phone icon at the top right of the main panel to open the dialpad and dial the contact.

Note: This isn’t available for group text messages.

Copying a text message

  1. Click Text in the left navigation bar.
  2. Select a conversation in the left panel.
  3. In the main panel, hover over the text message you’d like to copy, and select the Copy icon on the right.

Forwarding a text message

Note: Forwarded text messages are sent without indication you’ve forwarded them, and they don’t include the name or phone number of the original sender.
  1. Click Text in the left navigation bar.
  2. Select a conversation in the left panel.
  3. In the main panel, hover over the text message you’d like to forward, and select the Forward icon on the right.

  1. Enter names or phone numbers in the Forward text message window.
    1. If you’re forwarding a text message to more than one person, select the box for Send group text to start a group text message. Unselect the box to send to each recipient separately.
  2. Click Send.

Marking a conversation as read or unread

  1. Click Text in the left navigation bar.
  2. Hover over the conversation you’d like to mark as read or unread, and click the three-dot More icon.
  3. Click Mark as read or Mark as unread in the dropdown.

Tap Text in the bottom menu bar to view your active conversations, organized from newest to oldest. 

In the Search texts field, you can search by a contact name, phone number, or the content of a text message. You can also filter text messages by tapping the filter icon and selecting All, Unread, Draft, or Failed.

Deleting a conversation

  1. Tap Text in the bottom menu bar.
  2. Swipe left on the conversation you’d like to delete, then tap Delete
    1. To delete more than one conversation, tap the More icon after you swipe left and select additional conversations individually or tap Select all, then tap Delete at the bottom right.

Note: You can't recover a conversation after you’ve deleted it.

Deleting a text message in a conversation

You can delete an individual text message or multiple text messages from a single conversation. 

To delete an individual text message:

  1. Tap Text in the bottom menu bar.
  2. Select a conversation. 
  3. Tap and hold the text message you’d like to delete, then tap Delete at the bottom.

To delete more than one text message:

  1. Tap Text in the bottom menu bar.
  2. Select a conversation. 
  3. Tap the pencil icon at the top right, then tap the text messages you’d like to delete. A check mark in a blue circle shows the text message has been selected.

  2. Select a conversation. 
  3. Press and hold the text message you’d like to copy, then tap Copy at the bottom.

Calling a contact

  2. Select a conversation. 
  3. Tap the phone icon at the top right. This opens the dialpad and automatically dials the contact.

Forwarding a text message

You can forward an individual text message or select multiple text messages from a single conversation to forward. 
 
Note: Forwarded text messages are sent without indication you’ve forwarded them, and they don’t include the name or phone number of the original sender. When multiple text messages are forwarded at once, they’re sent as one message.

To forward an individual text message:

  1. Tap Text in the bottom menu bar.
  2. Select a conversation. 
  3. Tap and hold the text message you’d like to forward, then tap Forward at the bottom. 
  4. Enter names or phone numbers in the To field, or scroll through your contacts and tap to select one or more recipients. Tap Send.

    1. To delete more than one conversation, tap Select more after you tap and hold the first conversation. Then, select additional conversations individually or tap the three-dot icon, then Select all. Tap the trash icon at the top right, then tap Delete in the popup window.

You can delete an individual text message or multiple text messages from a single conversation.

  1. Tap Text in the bottom menu bar.
  2. Select a conversation.

Managing text messages in the RingCentral app desktop and web

You can manage your RingCentral app text messages by navigating to the Text menu via the left navigation bar. In the left pane, a list of all active text message conversations is organized by most recent messages at the top.
 
From this section, you can manage your text messages such as deleting a conversation or specific message, blocking a number, and more. Note: Some of these options may not be available to you depending on your company account permissions.

Deleting a text message conversation

  1. Navigate to Text via the left navigation bar.
  2. Hover your mouse over the conversation you’d like to delete and select the More menu that appears beside the number or name.

  1. Click Delete from the dropdown menu to open the Delete conversation? window.
  2. Select the Delete button.
Once you delete a text message conversation, you will lose the history of that conversation and you will be unable to recover that history at any time.

  1. Select a text message conversation in the Text menu via the left navigation bar.
  2. Hover your mouse over the text message you’d like to delete in the conversation and select the Delete trash can icon that appears at far right.

  1. On the Delete conversation? window, click the Delete button.

Blocking a number via text message

  1. In the Text menu via the left navigation bar, hover your mouse over the conversation you’d like to delete and select the More menu that appears beside the number or name.
  2. Click Block number from the dropdown menu to open the Block number? window.

  1. Select the Block button to finish blocking that number.
Note: You can only block a user from an individual text message conversation. This option is not available for group text messages.

Unblocking a number via text message

To unblock, navigate to the Text menu via the left navigation bar and select the More menu beside the number or name. Click Unblock number from the dropdown menu.

Calling a contact via a text message

  1. In the Text menu in the left navigation bar, select a text message conversation.
  2. Select the Call phone icon at top right in the center pane.

This opens the dialpad in your app and dials the number attached to the text message. 
 
Note: You can only call a user from an individual text message conversation. This option is not available for group text messages.

Copying a text message

  1. Select a text message conversation in the Text menu via the left navigation bar.
  2. Hover over the text message you’d like to copy in the conversation and select the Copy paper icon that appears at far right.
