Managing text messages in the RingCentral app

You can forward a text message, delete a text message or conversation, and more in the RingCentral mobile app or the RingCentral app on your desktop or web browser.

Managing text messages in the RingCentral app on your desktop or web browser

You can access your text messages by clicking Text in the left navigation bar. In the left panel, a list of all active conversations is organized from newest to oldest.

Note: If you don’t see Text in the left navigation bar, you can customize your tabs.

Note: Your ability to do these depends on permissions set by your company admin.

Deleting a conversation

  1. Click Text in the left navigation bar.
  2. Hover over the conversation you’d like to delete and click the three-dot More icon.
  3. Click Delete in the dropdown.

  1. In the Delete conversation? window, click Delete again.
Note: You can't recover a conversation after you’ve deleted it.

Deleting a text message in a conversation

  1. Click Text in the left navigation bar.
  2. Select a conversation in the left panel.
  3. In the main panel, hover over the text message you’d like to delete, and click the Delete trash icon on the right.

  1. In the Delete text message? window, click Delete again.

Blocking a number

  1. Click Text in the left navigation bar.
  2. Hover over the contact or phone number you’d like to block, and click the three-dot More icon.
  3. Click Block number in the dropdown.

Note: This isn’t available for group text messages.

Unblocking a number

  1. Click Text in the left navigation bar.
  2. Hover over the contact or phone number you’d like to unblock, and click the three-dot More icon.
  3. Click Unblock number in the dropdown.

Calling a contact

  1. Click Text in the left navigation bar.
  2. Select a conversation in the left panel.
  3. Click the Phone icon at the top right of the main panel to open the dialpad and dial the contact.

Note: This isn’t available for group text messages.

Copying a text message

  1. Click Text in the left navigation bar.
  2. Select a conversation in the left panel.
  3. In the main panel, hover over the text message you’d like to copy, and select the Copy icon on the right.

Forwarding a text message

Note: Forwarded text messages are sent without indication you’ve forwarded them, and they don’t include the name or phone number of the original sender.
  1. Click Text in the left navigation bar.
  2. Select a conversation in the left panel.
  3. In the main panel, hover over the text message you’d like to forward, and select the Forward icon on the right.

  1. Enter names or phone numbers in the Forward text message window.
    1. If you’re forwarding a text message to more than one person, select the box for Send group text to start a group text message. Unselect the box to send to each recipient separately.
  2. Click Send.

Marking a conversation as read or unread

  1. Click Text in the left navigation bar.
  2. Hover over the conversation you’d like to mark as read or unread, and click the three-dot More icon.
  3. Click Mark as read or Mark as unread in the dropdown.

Managing text messages in the RingCentral mobile app on iOS

Tap Text in the bottom menu bar to view your active conversations, organized from newest to oldest. 

In the Search texts field, you can search by a contact name, phone number, or the content of a text message. You can also filter text messages by tapping the filter icon and selecting All, Unread, Draft, or Failed.

Note: Your ability to do these depends on permissions set by your company admin.

Deleting a conversation

To delete an individual text message:

  1. Tap Text in the bottom menu bar.
  2. To delete a conversation:
    1. Android users: Tap and hold the text message then tap Delete.
    2. iOS users: Swipe left on the conversation you’d like to delete, then tap Delete.
      Note: Swipe left to delete is also available for managing voicemail messages and fax messages.

To delete more than one text message:

  1. Tap Text in the bottom menu bar.
  2. To delete more than one conversation:
    1. Android users: Tap and hold the text message, then tap Select. Select additional conversations individually or tap Select all, then tap Delete at the bottom right.
    2. iOS users: Tap Select after you swipe left. Select additional conversations individually or tap Select all, then tap Delete at the bottom right.
Note: You can't recover a conversation after you’ve deleted it.

Deleting a text message in a conversation

You can delete an individual text message or multiple text messages from a single conversation. 

To delete an individual text message:

  1. Tap Text in the bottom menu bar.
  2. Select a conversation. 
  3. Tap and hold the text message you’d like to delete:
    1. Android users: Tap Delete in the popup menu.
    2. iOS users: Tap Delete at the bottom.

To delete more than one text message:

  1. Tap Text in the bottom menu bar.
  2. Select a conversation. 
  3. Tap the pencil icon at the top right, then tap the text messages you’d like to delete. A check mark in a blue circle shows the text message has been selected.

  1. To delete the messages:
    1. Android users: Tap Delete in the bottom menu bar, then tap Delete again.
    2. iOS users: Tap Delete at the bottom right.

Copying a text message

  1. Tap Text in the bottom menu bar.
  2. Select a conversation. 
  3. Press and hold the text message you’d like to copy, then:
    1. Android users: Select Copy in the popup menu.
    2. iOS users: Tap Copy at the bottom.

Calling a contact

  1. Tap Text in the bottom menu bar.
  2. To call a contact:
    1. Android user: Tap and hold the text message, then tap Call.
    2. iOS user: Swipe left on a conversation, then tap Call.
      Note: Swipe left to call a contact is also available for managing voicemail messages and fax messages.

Calling a contact in a conversation

  1. Tap Text in the bottom menu bar.
  2. Select a conversation. 
  3. Tap the phone icon at the top right. This opens the dialpad and automatically dials the contact.

Note: This isn't available for group text messages.

Forwarding a text message

You can forward an individual text message or select multiple text messages from a single conversation to forward. 
 
Note: Forwarded text messages are sent without indication you’ve forwarded them, and they don’t include the name or phone number of the original sender. When multiple text messages are forwarded at once, they’re sent as one message.

To forward an individual text message:

  1. Tap Text in the bottom menu bar.
  2. Select a conversation. 
  3. To forward a message: 
    1. Android users: Tap and hold the text you’d like to forward, then tap Forward in the popup window.
    2. iOS users: Tap and hold the text message you’d like to forward, then tap Forward at the bottom.

  1. Enter names or phone numbers in the To field, or scroll through your contacts and tap to select one or more recipients. 
  2. Select the number you want the text sent from in the Text from field.
  3. Tap Send.

  2. Select a conversation.

  2. To mark a conversation as read or unread:
    1. Android users: Tap and hold the text, then tap Mark as unread
    2. iOS users: Swipe right on the conversation you’d like to update, then tap Read or Unread.
