Scheduling a meeting in the RingCentral mobile app

In addition to scheduling meetings in the RingCentral app, you can also connect your calendar whether it was scheduled in your calendar or within the app. To learn more, visit Connecting your Microsoft or Google Calendar in RingCentral mobile app
 
When you schedule a meeting, it will appear together with other meetings you’ve been invited to. These scheduled meetings can be found in the Video interface homepage. 
 
As the scheduler of the meeting, you become the host unless you choose to reassign the host to another participant during the meeting. As the meeting host, you can manage the meeting participants, start and stop recording, end the meeting for all participants, and more. 
 
Note: The additional options you configure in the Schedule meeting page will differ depending on whether you’re using RingCentral Video or Meetings for your video service.

Scheduling a meeting

  1. 1. Navigate to the Video tab via the bottom menu bar.
2. Tap the Schedule button at the top.
  1. 3. Make changes to the meeting title (optional).
  2. 4. Tap Date to choose a date in the calendar window.
  3. 5. Set the Start time and End time.
  4. 6. Configure additional settings as needed (visit the next section for more info).
  5. 7. Tap the Next button at top right.
  6. 8. If you’ve synced your Microsoft or Google calendar with the RingCentral mobile app, select the calendar where you want to save the meeting. This will open the meeting invite in the selected calendar.
  7. 9. Add the people you’d like to invite to the meeting.
  8. 10. Add a meeting description (optional).
  9. 11. Save the calendar event.

Scheduling a meeting with RingCentral Video 

  • Meeting Title: Subject of the meeting that you and the other participants will see
  • Schedule for: Available if you are authorized to schedule a meeting on behalf of a co-worker. For more info, visit Setting delegates to schedule your RingCentral Video meetings
  • Date: Date when you’d like to schedule the meeting
  • Start time: Time when you’d like to start the meeting
  • End time: Time when you’d like to end the meeting
  • Create a team: Only available when you’ve synced your Microsoft or Google calendar with the RingCentral mobile app. Enable this option if you want to create a new team with the meeting participants as members of that team
  • Team name: Only available when Create a team is enabled. It autofills with the meeting title. You can opt to change the team name
  • Use PMI (Personal Meeting ID): When enabled, this option allows you to set a specific Meeting ID that you can use for all your meetings moving forward. This helps participants associate the meeting to your name and is ideal for use with people you meet regularly
  • Mute audio for participants: When enabled, this option will automatically mute the participants’ audio when they join the meeting
  • Turn off camera for participants: When enabled, this option will automatically turn off the participants’ camera when they join the meeting
  • Password required: When enabled, this option helps secure your meeting and limits uninvited participants from joining. People who want to join using other methods other than the meeting invite URL will be prompted to enter a password before they can successfully join the meeting. When the meeting invite is generated with the password enabled, a long character string is added to the meeting URL which embeds the password automatically. Participants who use the meeting URL with the embedded password string will no longer be prompted to enter the password
  • Participants can only join after me: When enabled, participants can only join once the host starts the meeting. If this option is selected, the meeting participants will see a pop-up dialog that says ‘The meeting is waiting for the host to join.’ If you are the host, there is a login button you can use to log in and start the meeting as the host
  • Enable waiting room: When enabled, this allows the host to control when a participant joins the meeting. The host can set the waiting room to one of the following: Anyone outside my company, Anyone not signed in, or Everyone
  • Only signed in users can join: When enabled, participants must sign in to the RingCentral mobile app to join the meeting
  • Only signed in co-workers can join: When enabled, only co-workers who are signed in to the RingCentral mobile app can join the meeting
  • Only hosts can share screen: When enabled, only the meeting’s host can share their screen

Scheduling a meeting with RingCentral Meetings

  • Meeting Title: This is the subject of the meeting that you and the other participants will see
  • Date: Choose the date when you’d like to schedule the meeting
  • Start time: Choose the time when you’d like to start the meeting
  • End time: Choose the time when you’d like to end the meeting
  • Time zone: Choose the time zone for your meeting schedule
  • Repeat: Tap to repeat the meeting Every day, Every week, Every 2 weeks, Every month, or Every year
  • Host video on: Toggle on to immediately turn on your camera when you enter the meeting. You can still turn off your camera at any point during the meeting
  • Attendee video on: Toggle on to immediately turn the camera on for participants when they enter the meeting. Keep in mind that they can still turn their camera off at any point during the meeting
  • Audio option: Tap to set the type of audio to be used in the meeting. Option include Telephone only, Internet audio only, or Telephone and internet audio
  • Dial-in country: Tap to select from the list of countries. Dial-in numbers for the selected countries will show up in the invitation email
  • Meeting password: Tap to set an alphanumeric password to enter the meeting
  • Enable joining before host: Toggle on to allow participants to join the meeting before the host 
  • Use PMI: Toggle on to use your Personal Meeting ID for all your meetings moving forward. This helps participants associate the meeting to your name and is ideal for use when with people you meet regularly
  • Only signed-in users can join: When enabled, only co-workers who are signed in to the RingCentral mobile app can join the meeting
