The presence indicator feature in the RingCentral app represents a user’s availability status. 
 
Your presence is indicated by the colored dot located at bottom right of your profile picture. Your presence is either:
  • System-triggered, which means the app will set your presence based on a set of circumstances (e.g., if you’re in a meeting, on a call, or offline)
  • Manually set, which overrides the system-triggered presence.

Presence types

  • Available: A green dot. This indicates the user is active and available to communicate. This presence can be system-triggered or set manually by the user.
  • Offline: A gray dot. This indicates the user is offline or inactive (for 15 minutes or more on their app or web browser), or has logged out of the app. This is a system-triggered presence but will appear the same as Invisible.

    Note: If you are also logged in on the mobile app, the mobile status will override the auto-inactive status. 
  • Invisible: A gray dot. This will appear as if you’re offline. This presence can only be set manually.
  • Do not disturb: A red dot with a white line through the center. This will shut off all app notifications across mobile, desktop, and email. This presence can only be set manually by the user.
  • On a call: A red dot. This indicates the user is on a call and may not be available to communicate. This is a system-triggered presence.
  • In a meeting: A red dot. This indicates the user is in a meeting and may not be available to communicate. This presence is system-triggered.
Note: If you toggled on the Calendar presence, the blocked time on your calendar will change your presence status to busy automatically. It cannot be manually changed to available in this instance.  

Setting your presence for desktop and web

1. Select your profile picture at top right.
2. Hover the presence currently selected under your status (Available is the default) to expand a list of presence options.
3. Select one of the presences from the list of options. Options include Available, Do not disturb, Invisible.
Once you’ve selected a presence, the dropdown menu will close and your presence, indicated by the colored dot in your profile picture, will change to what you’ve selected.
