Editing a template to enable unassigned extensions in bulk

Admins can enable unassigned extensions in their RingCentral online account by downloading, filling out, and uploading a template in XLS or XLSX formats. Read Adding, editing, or enabling unassigned extensions in bulk for more information about downloading the template.
  1. Fill out all required fields.
  2. Check that Extension numbers are unique for each user. 
  3. Fill out the Emergency Response Location (ERL) or Emergency Address fields if the purchased License Billing ID is a type of Digital License.
    1. If the setting for ERL is enabled, ERL is required.
    2. If the setting for ERL is disabled, Emergency Address is required. Note: ERL/emergency address can’t be a P.O. box.
  4. Enter the user’s first name, last name, and email address in the row of the desired phone number and phone make/model.
  5. If a User Template is applied to a user, the Site, Role, User Language, Job Title assignments from the User Template will be overwritten for that user.
Note:
  • Once you’ve uploaded your template, processing may take some time. If you see incorrect data fields, you can manually change them in your online account.
  • Required fields (highlighted in green) may not be left blank.
  • Do not change any grayed-out columns or cells in the table.
  • If you don’t want to assign a particular line to a user, delete the row.
  • Don't add any rows.
  • Don’t change the order of the columns.
  • A maximum of 5,000 users can be added in bulk.
  • Site and Cost Center is only needed for users who are set up at the company or account level.
  • Enter complete country names, not abbreviations like “US.”
  • For assigning softphones, enter:
    • RingCentral Phone App instead of RC Phone.
    • RingCentral App instead of RC App.
