Engage Voice | Using the Email node

The Email node tells the IVR to send an email to an assigned email address. The Email node is useful because you can use it to generate an email based on something that occurs within an IVR session. 
 
For example, imagine you build an IVR that uses the Rec Audio node for voicemails. You might want to receive an email each time a caller leaves a voicemail. In fact, you can even use variables to ensure that links to the voicemail recordings are included in the emails. Read below to learn more about using variables with the Email node.

Adding an Email node

When you’re ready to use the Email node, follow the steps below:
1. Drag and drop an Email node from the palette onto the background
2. Hover over the Email node to reveal the popup menu and select Edit to open the Email Properties modal window
3. Enter a new name in the Node Id field (optional)
4. Enter an email address in the To field 
5. Enter additional email addresses in the CC and BCC fields (optional)
6. Enter an email address in the From field 
7. Enter a subject in the Subject field 
8. Enter content in the Body Content text box
9. Click OK to close the modal window
As always, don’t forget to save your changes. You might also want to test your email node by calling the IVR to see if it sends an email with the proper information.

Email node properties

  • Node Id: This is the unique name given to a particular Email node that has been placed on the background. You can leave the default name or change it
  • To: This indicates the primary email address(es) you want to receive emails
  • CC: This indicates additional email addresses you want to receive emails. Email addresses entered in this field will be visible to other recipients 
  • BCC: This indicates additional email addresses you want to receive emails. Email addresses entered in this field will not be visible to other recipients  
  • From: This indicates the email address that will appear as the sender
  • Subject: This indicates the topic of your emails
  • Body Content: This is the information that will be included as the message in each email. You can also include specific information from each call by inserting variables (see below for more info).

Including variables in Emails

The Email node is particularly useful because you can configure it to include unique information collected from individual callers. To do this, you can insert in the body of the email a dollar sign ($) followed by the name of the node that collected the information.
 
For example, you might want to use the Email node when callers leave voicemails via the Rec Audio node. If so, you can place an Email node after a Rec Audio node and then use the Email node to send a link to the WAV file created by the Rec Audio node. Simply enter a dollar sign ($) followed by the name of the Rec Audio node — that is, the Node Id — in the Body Content field.

You might also build an IVR that uses the Get Input node to collect some information like zip codes or account numbers from callers. If you do this and want the information to appear in your emails, enter a dollar sign ($) followed by the Get Input node ID in the Body Content field.
