Navigating the Adoption and Usage report
========================================

The Adoption and Usage report shows how users, departments, and sites in your organization use the message, meetings, phone, and text message features in <var class="keyword">
<div style="display: inline;">
RingEX
</div></var>.

Note  
Text messaging reporting is currently in beta testing and available for select customers. These metrics won't show data prior to April 1, 2026.

Accessing the Adoption and Usage report
---------------------------------------

You can access the Adoption and Usage report in the Analytics Portal:

* Sign in to the [<var class="keyword">
  <div style="display: inline;">
  Analytics Portal
  </div></var>](https://analytics.ringcentral.com "").
* Click **Adoption \& Usage** in the left navigation panel.

Select a tab in the top navigation bar to open a specific report type:

* **Overview**: Shows adoption levels for Message, Meetings, Phone, and Text (SMS). It also provides combined usage data across the organization, departments, or sites.
* **Message**: Shows usage patterns for the messaging feature.
* **Meetings**: Shows usage patterns for video meetings.
* **Phone**: Shows usage patterns for making and receiving phone calls.
* **Text (SMS)**: Shows usage patterns for inbound and outbound text messaging.

Adoption and Usage widgets
--------------------------

Each tab includes widgets that display data for a specific category. Some widgets are static, while others are interactive. Widgets may appear as circles, graphs, or tables.

* **Circle widgets** : Hover over a segment to view more details. In some cases, selecting a segment updates the User table with additional information.

* **Graph widgets** : Hover over a data point to view more details. In some cases, selecting a data point updates the User table.

* **Table widgets** : View data in a table format. You can select tabs or choose an entry to view more details.

Using the Overview page
-----------------------

The **Overview** page shows aggregated usage data across:

* The entire organization
* Departments, if set up in the Admin Portal
* Sites, if you use the [multi-site feature](https://support.ringcentral.com/article-v2/9894.html?brand=RingCentral&product=RingEX&language=en_US "")

This page includes six widgets that help you understand usage patterns.

**Enabled users**

The **Enabled Users** widget shows how many users in your organization are set up to use each feature. The **Total Enabled Users** trend graph shows how this number has changed over the selected timeframe.

You can use this data to track onboarding progress when adding new users.

**Active users**

The **Active Users** widget shows how many users are actively using each feature.

It provides data at two levels:

* **Company total**: Shows active users for Message, Meetings, Phone, and Text (SMS) within the selected timeframe
* **By organizational unit** :
  * **By Department**: Shows the top 10 departments with the most active users, including a breakdown for Message, Meetings, and Phone.
  * **By Site**: Shows the top 10 sites with the most active users.

By default, the table sorts in ascending order. Use the arrows at the top of each column to sort in descending order and identify less active groups. This helps you understand adoption across your organization.

Lower usage may indicate:

* Some teams need help accessing or using the product
* If your user list needs updating
* Recent events that affected usage

To identify gaps, review active users by department or by site. High-performing groups can help share best practices, while lower-performing groups may benefit from training.

**Active user trend**

The **Active User Trend** widget shows the number of unique active users within each feature.

It tracks unique active users across three timeframes:

* **Daily**: Users active each day
* **Weekly**: Users active each week
* **Monthly**: Users active each month

Activity is defined differently by product:

* **Message**: Posting a message
* **Meeting**: Hosting a meeting
* **Phone**: Making or answering a call
* **Text**: Sending or receiving a text message

Turn on **Compare with previous period** to view trends alongside the previous timeframe and hover over the graph to view detailed data.

Use this graph to understand repeat usage and engagement.

Common patterns include:

* **Lines close together**: Consistent usage across users.
* **Lines far apart**: Wide variation in usage; fewer frequent users.
* **Daily and weekly close, monthly higher**: Small group of frequent users, larger group of occasional users.
* **Weekly and monthly close, daily lower**: Most users engage weekly but not daily.
* **Previous period lower**: Usage improved after a recent change.
* **Previous period higher**: Usage declined after a recent change.

**Usage frequency**

The **Usage Frequency** widget shows how often users engaged with features over the last 30 days. It groups users into:

* **Very Frequently**: 17-30 days
* **Frequently**: 11-16 days
* **Occasionally**: 5-10 days
* **Rarely**: 1-4 days
* **Non Users**: 0 days

Hover over each bar to view user counts and select frequency checkboxes to compare behavior across products.

Use this widget to identify power users and non users, and adjust training or communication strategies.

**Device type**

The **Device Type** widget shows usage by device type, including the desktop app, mobile, app, deskphone, or an unknown device.

Hover over each section of the chart to view usage percentages.

Understanding device preferences can help you:

* Support preferred workflows
* Guide users toward recommended devices when needed

Using the Message page
----------------------

The **Message** page shows detailed usage patterns for the messaging feature in the <var class="keyword">
<div style="display: inline;">
RingCentral
</div></var> app. You can also view usage by department or site to understand how different parts of your organization use the product.

**Key Performance Indicators (KPIs)**

The message KPIs provide key metrics for messaging activity, such as:

* Total number of posts
* Posts by conversation type (team, direct, or group chat)
* Total number of teams

**Active users**

The **Active Users** widget shows how many users have access to the messaging feature and how many are active. Active users are those who posted at least one message during the selected timeframe. The widget displays both the number of users and the percentage of active users.

**Teams**

The Teams widget shows how teams are used for collaboration.

It includes:

* **Top or bottom 10 teams by activity**: Based on the number of posts in the selected timeframe
* **Top or bottom 10 teams by members**: Based on the number of users in each team

Each bar shows the total number of posts or members for a team.

By default, the widget shows the top 10 teams. To view the bottom 10, click the arrow next to the **Posts** column in the **By Activity** or **By Members** tabs.

Use this widget to identify:

* Highly active teams that can model best practices
* Less active teams that may need cleanup or support

The **Usage Frequency** widget groups users based on how often they've used messaging over the last 30 days (based on posting activity). You can also view this data by department or site, based on your Admin Portal setup.

By default, the table shows 10 users per page. To adjust the view:

* Use the **Show** dropdown to display more users
* Use pagination controls to view additional pages

The table sorts alphabetically by name by default. To sort by another column, use the arrows next to each column header. You can also use the search bar to find a specific user.

Using the Meetings page
-----------------------

The **Meetings** page helps you understand usage patterns for meetings. You can also view usage by department or site to understand how different parts of your organization use the product.

The meetings KPIs provide key metrics for meetings usage, such as:

* Number of users who host meetings
* Number of participants
* Average meeting duration
