Managing company sites in the RingCentral mobile app

Admins can set additional company sites by logging in to their RingCentral online account. Admins can configure and manage these different office locations under one account through the RingCentral mobile app. You can manage the following settings for every company site:
Site General Info: Includes your company’s site name and extension that will be used as the reference for the default Company Greeting and your company address for a Directory Listing.
Site Numbers & Info: Includes the company site name that you want to appear exactly on Caller ID displays as well as the site’s address.
Site Auto-Receptionist: Includes your site’s Auto-Receptionist or “Auto Attendant” settings that will enable calls to be answered automatically with the default or personalized recording.
Note: Adding a new site can only be done by an administrator using the RingCentral admin portal.
Accessing your Sites settings
If you’ve set up company site information via your RingCentral online account, you can access the Site settings on your RingCentral mobile app.
a. For Android devices, tap your profile menu at the top left.
b. For iOS devices, tap your profile photo at the top left.
2. Tap Admin tools.
3. Tap Phone system > Sites.
Configuring Site General Info
1. Navigate to Admin tools via your profile menu.
2. Tap Phone System.
3. Tap Sites.
4. Tap on the site you want to manage.
5. Tap Sites General Info to edit the following settings:
Site Name: The office location of the extension.
Site PIN: The PIN that will be used to access messages via phone and authenticate your account.
6. Tap Save on the upper right.
Configuring Site Numbers & Info
1. Navigate to Admin tools via your profile menu.
2. Tap Phone System.
3. Tap Sites.
4. Tap on the site you want to manage.
5. Tap Site Numbers & Info to edit the following settings:
Caller ID Name: Enter the site’s name that you want to appear on Caller ID displays. You can enter up to 15 characters.
Site Address: Enter the address or physical location of your site that will be used for publishing Directory Listing if the service is available for your account.
6. Tap Save on the upper right.
Managing Site Auto-Receptionist
1. Navigate to Admin tools via your profile menu.
2. Tap Phone System.
3. Tap Sites.
4. Tap on the site you want to manage.
5. Tap Site Auto-Receptionist to modify the following settings:
Site Hours: Modify your site’s business hours. You can choose whether your site is operating 24-hours/7 days a week or Specify hours (custom).
Site Call Handling: Modify your site’s Call Handling settings during business hours, after hours, or custom hours.
Site Hours: Configure your site’s Call Handling during business hours.
After Hours: If your business is not set to 24 hours a day, you can configure your site’s Call Handling after business hours.
Custom Rules: Create a customized call management condition based on the time of day, date range, incoming caller ID, and called number.
Site IVR Settings: Configure your site’s interactive voice response (IVR) system to allow callers to select routing options.
Site Fax/SMS Recipient: Choose the extension that will receive all faxes and business SMS when connecting incoming calls to company numbers to IVR menu with multi-level IVR enabled.
Site Regional Settings: Configure your site’s Time Zone, Time Format, Home Country Code, User Language, Greetings Language, and Regional Format.
Configuring Site Call Handling Settings
1. Navigate to Admin tools via your profile menu.
2. Tap Phone System.
3. Tap Sites.
4. Tap on the site you want to manage.
5. Tap Site Auto-Receptionist.
6. Tap Site Hours to configure the top level IVR menu for the site during business hours.
7. Tap After Hours to configure the top level IVR menu for the site after business hours.
8. Tap Custom Rules to edit or add custom call handling rules that apply to the site.
9. Tap Save on the upper right.
Configuring Site IVR Settings
1. Navigate to Admin tools via your profile menu.
2. Tap Phone System.
3. Tap Sites.
4. Tap on the site you want to manage.
5. Tap Site Auto-Receptionist.
6. Tap Site IVR Settings to modify the following settings:
General navigation keys: Choose what happens when a caller presses “#” or “*”.
If caller enters no action after the prompt played 3 times: Choose whether to Disconnect calls or Connect to Extension after playing the prompt three times.
Zero Dialing: Choose where to route callers when they press 0 during the Extension greeting.
7. Tap Save on the upper right.
Deleting a Site
As an admin, you can also delete sites through the RingCentral mobile app.
