Joining a meeting in RingCentral Rooms
======================================

You can join a RingCentral Rooms meeting from your Rooms controller or from the RingCentral mobile app.

Joining a scheduled meeting
---------------------------

Scheduled meetings appear on the dashboard of your Rooms controller and in **Today's meetings** . On the Rooms controller, tap **Join** next to the scheduled meeting.

Joining a meeting with a meeting ID
-----------------------------------

* In the controller's bottom row, tap **Join with ID** .

* Use the numerical keypad to enter the Meeting ID and join the meeting.

Joining meetings from the RingCentral mobile app
------------------------------------------------

You can join upcoming RingCentral meetings and webinars, as well as scheduled Zoom or Webex meetings, from the mobile app.

* In the bottom menu, tap **Video**.
* At the far right, tap the three-dot **More** icon next to the meeting you'd like to join.
* Tap **Join from room** .

* Select the room you'd like to join from.
* Tap **Join**.

Note: For webinars, the **Join from Room** option is only available for attendees and panelists.

Joining a meeting from the desktop app
--------------------------------------

You can join upcoming RingCentral meetings and webinars from a Rooms conference room using the desktop app.

* In the navigation bar, click **Video**.
* Hover over the meeting you want to join.
* Click the three-dot **More** icon next to the meeting name.

* Click **Join from room**.
* Select the room you'd like to join from.
* Click **Join**.

Joining a meeting with voice command
------------------------------------

If you've turned on Rooms' voice command feature, you can join a scheduled meeting without touching the controller. Just say, "Hi RingCentral. Join meeting."

Note:

* Your controller device will only listen for 15 minutes before and after a meeting. It will stop listening when a meeting starts.
* Voice command audio is processed on the Rooms system computer and isn't sent to a server.

When the voice command feature is turned on, a microphone icon will appear at the bottom of the controller's screen.

Joining by scanning a QR code
-----------------------------

You can join, start, and control a meeting in RingCentral Rooms from your mobile device by scanning a QR code on the room TV.

Requirements:

* The RingCentral mobile app is installed on your iOS or Android device
* Bluetooth is turned on on your mobile device
* The room is in Idle state (not in a meeting)
* You've [turned on Smart Room Join via QR Code](https://support.ringcentral.com/article-v2/managing-smart-join-via-qr-in-ringcentral-rooms.html?brand=RingCentral&product=RingEX&language=en_US "").

### Joining or starting a meeting by scanning the QR code

* Open your device''s camera app and point it at the QR code on the room TV.
* Tap the prompt to open the link.
* If the RingCentral mobile app is installed, it will open automatically.
  * If the RingCentral mobile app is not installed, you'll be redirected to <https://app.ringcentral.com/> to download it.
* Wait for your mobile device and the room to pair through Bluetooth.
  * If Bluetooth is turned off on your mobile device or the room device does not support Bluetooth, you'll receive the error *Unable to connect to the Room*. Turn on Bluetooth, and try again.
* In the popup that shows the room name and the list of ongoing and upcoming meetings, choose what you want to do:
  * Tap **Join** (A) next to a meeting to join it through the room.
  * Tap **Meet now** (B) at the bottom to start a new meeting from the room.
  * Tap **X** in the upper-right corner to close the popup and disconnect from the room.

* When your mobile device takes control of the room, the Room Controller shows a full-screen overlay with the message *{Your name} has controlled this Room* and a **Take Control** button. The controller can't be used until someone taps **Take Control** or the mobile device disconnects.

### In-meeting controls

Once you join or start a meeting from your mobile device, you can use the following in-meeting controls:

* Mute / Unmute
* Turn video on / off
* Adjust volume
* End meeting
* Disconnect

Tap **Disconnect** to unlink your mobile from the room and return control to the Room Controller. Tap the back arrow to return to the meeting list without disconnecting.

### Handing off an active mobile meeting to the room

If you are already in an active meeting on your mobile device, you can move it to the room.

* Scan the QR code on the room TV.
* Wait for the meeting list popup to appear.
* In your active meeting, tap **Handoff to Room**.
* The meeting moves to the room display without dropping the call.

Joining third-party meetings
----------------------------

When Rooms receives a meeting invite from Zoom, Webex, GoTo Meeting, or Microsoft Teams, you can join the meeting from a Rooms conference room with one click. You can manage the meeting using meeting control buttons or dual-tone multi-frequency (DTMF) commands.

Note:

* RingCentral Rooms doesn't support using phones as controllers during a SIP meeting.
* Some firewall configuration may be needed. For more information, refer to the [RingCentral network requirements](https://support.ringcentral.com/article-v2/Network-requirements.html?brand=RingCentral&product=RingEX&language=en_US "").

### Joining scheduled third-party meetings from the Rooms controller

You can join third-party meetings that are on your calendar from the dashboard of your Rooms controller and from **Today's meetings** . On the Rooms controller, tap **Join** next to the name of the scheduled meeting.

Note:

* To join a scheduled meeting from the controller, the third-party meeting invitation must contain a SIP address.
* For Teams meeting invitations that don't provide a SIP address, Rooms will use SIP Guest Join.
* You won't be able to join the meeting if it's protected by end-to-end encryption.

### Joining third-party meetings using a SIP address

* On the Rooms controller, tap **Join**.
* Tap **Enter SIP address**, then enter the SIP address.
* Tap **Join**.

### Joining third-party meetings using a dial-in number

In rooms that have phone licenses, you can dial in to scheduled Teams, Zoom, GoTo Meeting, or Webex meetings from the controller, if you were not invited to join by SIP.

* Tap **Dial in** next to the meeting you want to join.
* From the popup, tap any of the meeting phone numbers.
* Rooms will dial the number and connect you to the meeting.

Joining third-party meetings from the desktop app
-------------------------------------------------

You can also use the desktop app to join Zoom, Cisco Webex, Microsoft Teams, and Google Meet meetings from a RingCentral Room. When a scheduled third-party meeting contains SIP connection information, a **Join from Room** button becomes available on the **Video** tab and the Meeting Details screen.

* In the navigation bar, click **Video**, and find the third-party meeting.
* Click the meeting to show its details.
* Click **Join from Room**.
* Select a room from the Rooms list.
* Your Room device will connect to the meeting.

If the meeting doesn't contain SIP information, the **Join from Room** button won't appear. Click **Join** instead to join the meeting through your browser.

Note: If the Room device can't connect (for example, because of an invalid SIP address or a server issue), an error dialog appears. Joining a Rooms meeting automatically
-------------------------------------

This feature allows Rooms to automatically accept an incoming video call, if the room is not already in a meeting.

As an admin, you can configure a room to automatically accept video calls.

* On the controller, tap the **Settings** (gear) icon at the top right corner.
* In the **General** tab, tap the toggle to turn on or off **Auto-accept incoming video invite when not in a meeting** .

When **Auto-accept incoming video invite when not in a meeting** is turned on, the room will automatically accept and join the meeting within 10 seconds, as long as it's not already in a meeting.
