Managing presence settings in the Admin Portal
==============================================

The Presence feature in the Admin Portal lets you change your permissions for coworkers to view your call status. When you turn on Presence permissions, your status appears on compatible deskphones and in the [Heads-up display (HUD)](https://support.ringcentral.com/article-v2/Managing-your-HUD-extensions-in-the-RingCentral-app.html?brand=RingCentral&product=RingEX&language=en_US&pills-nav=desktop_%26_web "") on the desktop, web, and mobile apps.

Presence settings include two parts:

* **Permissions** : Choose who can see your call status: *Available* , *Busy* , *Do not disturb* , or *Invisible*.
* **Appearance** : Choose the coworkers who can monitor or answer calls on your behalf, and [organize how you want other extensions to appear on your display](https://support.ringcentral.com/article-v2/Customizing-your-deskphone-key-layout.html?brand=RingCentral&product=RingEX&language=en_US#key-templates "").

Accessing presence settings
---------------------------

You can manage your own presence permissions or update them for [another user if you're an admin](#manage-permission-settings "").

### Managing your own permissions settings

* Sign in to the [Admin Portal](https://service.ringcentral.com/ "").
* At the top right, select **My Extension** from the dropdown.
* Click the **Settings** tab.
* Click **Devices \& Numbers**.
* In the **Phones** tab, click **Presence** .

* Click the **Permissions** tab.
* Under **Allow other users to see my Presence** status, click **On**.
* Select who can view your presence: *Everybody* , *Nobody* , or *Only users that are permitted to answer my calls*.
* Under **Select users permitted to answer my calls**, you can choose specific users to pick up your incoming calls when you are unavailable.
* Click **Save** .

### Managing another user's permissions settings

* Select a user from the **Users with extensions** list.

Accessing appearance settings
-----------------------------

### Managing your own appearance settings

* Sign in to the [Admin Portal](https://service.ringcentral.com/ "").
* At the top right, select **My Extension** from the dropdown.
* Click the **Settings** tab.
* Click **Devices \& Numbers**.
* In the **Phones** tab, click **Presence** , and you will land on the **Appearance** tab.
* Check the boxes to:
  * **Ring my phone when any user I am monitoring rings**: Get notified when a monitored user's phone rings.
  * **Enable me to pick up a monitored line on hold**: Answer calls on hold on behalf of other users.

  **Note**  
  Other users must allow you to answer their calls in their Presence permissions before you can use this feature.

* You can [Customize Line Keys by Phone Model](https://support.ringcentral.com/article-v2/Customizing-your-deskphone-key-layout.html?brand=RingCentral&product=RingEX&language=en_US#key-templates "") or apply a Key Template.
* Click **Save** .

### Managing another user's appearance settings

* Click the **Users** tab.
* Select a user from the **Users with extensions** list.
* Click **Devices \& Numbers**.
* In the **Phones** tab, click **Presence** , and you will land on the **Appearance** tab.
* Check the boxes to:
  * **Ring my phone when any user I am monitoring rings**: The user will be notified when a monitored user's phone rings
  * **Enable me to pick up a monitored line on hold**: The user can answer calls on hold on behalf of monitored users.

  **Note**  
  The monitored users must grant permission in their Presence settings for this user to answer their calls.
