Joining a RingCentral Video meeting

You can use the RingCentral mobile app and the RingCentral app on your desktop or web browser to join video meetings.
 
You’ll receive a notification when it’s time to join a scheduled meeting.
 
You can also sync your Microsoft Exchange, On-premises, Google, or device calendar with the RingCentral mobile app.

Note: Hosts and participants can have two meetings running at the same time. If a participant or host tries to join a third meeting, they’ll automatically disconnect from the first meeting they joined.

Using the Join button

  1. Go to Video in the left navigation bar.
  2. Click the Join button at the top of the main panel.

  1. Enter the meeting info, or select a meeting from the dropdown.

  1. Click Join. Enter a password if required.
  2. Choose how you'd like to connect your audio

Using the Upcoming meetings page

If you’ve connected your calendar to your RingCentral account, scheduled meetings will appear on the Upcoming meetings page, listed in chronological order.
  1. Go to Video in the left navigation bar.
  2. On the Upcoming meetings page, hover over a scheduled meeting and click Join.

Using only audio

  1. Go to Video in the left navigation bar.
  2. Hover over a scheduled meeting, then click the three-dot More icon to the right of the Join button.
  3. Select Dial in. Your dialpad will open, and you’ll automatically join the meeting.
Note: RingCentral Video meeting invitations display your premium purchased phone numbers, along with the default RingCentral Video meeting numbers and dial-in options. For your premium numbers to be displayed in your meeting invitations, you’ll need to add them using the Admin Portal.

Note: Clicking Connect to the left of the Join button lets you connect a new or existing Team to the meeting for easy collaboration.

Using the Join button

  1. Tap Video in the bottom menu bar.

  1. Enter the meeting ID or link, or select a meeting from the dropdown.

  2. Choose how you'd like to connect your audio
Note: Turn on Don’t connect to audio if you want to join the meeting without audio. You can connect your audio anytime during the meeting.

Using only audio

  1. Tap Video in the bottom menu bar.

    1. Dial in with RingCentral: The RingCentral mobile app will automatically dial the meeting phone number and enter the access code and participant ID.
    2. Dial in with my phone: Your mobile phone will automatically dial the meeting phone number and enter the access code and participant ID. 
     
Note: RingCentral Video meeting invitations display your premium purchased phone numbers along with the default RingCentral Video meeting numbers and dial-in options. For your premium numbers to appear in your meeting invitations, you’ll need to add them using the Admin Portal.

Using the meetings page

If you’ve connected your calendar to your RingCentral account, scheduled meetings will appear in the meetings page, listed in chronological order.

    1. Dial in with RingCentral: The RingCentral mobile app will automatically dial the meeting phone number and enter the access code and participant ID.
    2. Dial in with my phone: Your mobile phone will automatically dial the meeting phone number and enter the access code and participant ID. 
Note: If you’ve purchased premium numbers, these numbers automatically appear in meeting invitations and dial-in options.

By clicking the More icon, you can also:
  • Email meeting participants: Send an email to all participants.
  • Copy meeting URL
  • View meeting details
  • Join from room: Choose how you’d like to connect your audio after you’ve entered the meeting.
Unless the host requires it, you don’t need a RingCentral account to join a meeting from your web browser.
 
RingCentral Video supports the following browsers:
  • Google Chrome, version 75 and later
  • Microsoft Edge, version 79 and later
  • Firefox, version 95 or later (currently in beta)
Note: If you’re using Firefox, you need to enable RingCentral Video on Firefox before you can join a meeting. 

Using your web browser

  1. Open your browser on your desktop.
  2. Copy the meeting link provided by the host, then paste it into your web browser. Press Enter.
  3. Follow the prompts.

Using your calendar

If you’ve connected your calendar with your RingCentral account, you can join a meeting from that calendar.
  1. Open the meeting you’d like to join in your Outlook or Google calendar. 
  2. You can join by:
    1. Clicking the meeting link.
    2. Copying and pasting the link into your web browser.

You can use the RingCentral app to join a video meeting. Additionally, when it’s time to join a scheduled meeting, the app will notify you when a meeting has started, ensuring you’re always on time for your meeting. 
 
You can join a meeting that has been scheduled either by you or another user in the RingCentral app. You can also sync your Outlook or Google calendar with the RingCentral app so all your scheduled meetings are in one place, allowing you to join any meeting without leaving the app. 
 
If you have synced your calendar, scheduled meetings will appear in the Meetings page, which acts as the homepage of the Video interface. When you navigate to this page, you can join a scheduled meeting by 
  • clicking the Join button via the meetings dashboard,
  • clicking the Join next to a scheduled meeting in your meetings calendar,
  • or clicking the Join button via the meetings dashboard, then selecting a recent meeting.
Note: Hosts and participants are permitted to have two meetings running simultaneously in the RingCentral app desktop and web. This applies to instant meetings or scheduled meetings. If a participant or host tries to join a third meeting session, the first attended meeting will automatically disconnect.

Joining a meeting via the meetings dashboard

To join a meeting via the Join button in the meetings dashboard, follow these steps:
  1. Navigate to Video via the left navigation bar.
  2. In the Meetings page, click the Join button at the top of the page.

  1. Enter the Meeting ID or link in the Meeting ID field.
  2. Click the Join button to open that meeting in a new separate window. If the meeting creator has required a password, provide the password to join that meeting.

Joining a meeting via the meetings calendar

To join a meeting via the meetings calendar, follow these steps:
  1. Navigate to Video via the left navigation bar.
  2. In the Meetings page, hover your mouse over the scheduled meeting and click the Join button that appears at far right.

  1. Configure your audio sources in the meeting that opens on your device.
If you’ve synced your calendar, you can also use this method to join meetings that were scheduled in that calendar. 

Joining a meeting on another video conferencing software

The RingCentral app also supports joining scheduled meetings on other video conferencing software. If you sync your calendar, the following meeting links will also have a Join button in the RingCentral app:

Note: Clicking Join on any of these supported software meeting links will open the meeting in a new browser window.
 
Finally, depending on your video service, you will have slightly different options for selecting your audio sources from which you’d like to start your meeting.

Dialing in to a meeting

In addition to joining a meeting, you can also dial in to a meeting using the RingCentral desktop or web app.
 
Notes:
  • Dialing in to a meeting will not allow you to have a camera turned on, nor will you be able to view if someone is sharing their screen. 
  • You must have phone features enabled at the company account level in order to use this feature.
To dial in to a meeting, follow these steps:
  1. Navigate to Video via the left navigation bar.
  2. Hover your mouse over a scheduled meeting and click the More icon that appears on the far right.

  1. Click the Dial in option via the dropdown menu.

Once you select the Dial in button, your dialpad will open and the system will dial the number and access code associated with the meeting.
