RingCentral Scheduler is a tool for scheduling RingCentral Video or RingCentral Meetings sessions in Outlook.
 
The following is a list of frequently asked questions (FAQs) about RingCentral Scheduler.

General questions

I scheduled a meeting with RingCentral Scheduler, so why is there also a Microsoft Teams meeting in my Outlook invitation?

Microsoft automatically adds a Teams meeting to every new Outlook Calendar invitation.
 
If you’ve used a Microsoft Outlook add-in, such as RingCentral Scheduler, to add a meeting invitation, you’ll see the RingCentral meeting details in the invitation.
 
You can turn this feature off manually in your Outlook Web Settings. Your company’s Microsoft admin can turn this feature off globally from the Microsoft admin center.

Why is the RingCentral Scheduler add-in grayed out or missing from my Outlook invitation?

When you upgrade Microsoft Outlook, some add-ins might not display correctly, or may be missing from the Outlook user interface.

To have your add-ins reappear, you can switch back to the old interface, then switch again to the newer user interface. You can also simply restart Outlook.

Why does my “Schedule on Behalf” feature not work in Microsoft Outlook?

Check the version of your Microsoft Outlook client. The “Schedule on Behalf” feature only works with Outlook 2016 and later.

Why can’t I see any RingCentral video meeting details in my Microsoft on-premise Exchange 2013?

The RingCentral Scheduler add-in is compatible with the following Outlook versions:
  • Windows
    • Microsoft 365 subscription, version 2019
    • Outlook version 1910 (build 12130.20272)
  • Mac
    • Most current version of macOS (connected to a Microsoft 365 subscription)
  • Web browser
    • Microsoft 365 subscription or Outlook.com
    • For PC users:
      •  ▪ Exchange Online or Microsoft 365 subscription on the latest version of Edge, Chrome or Firefox
    • For Mac users:
      •  ▪ Exchange Online or Microsoft 365 subscription on the latest versions of Edge, Chrome, Safari, or Firefox that support ECMAScript 5.1 and HTML5.
  • On-premise Exchange
    • Versions 2013, 2016, and 2019

Which RingCentral plug-ins or add-ins are available?

  • Plug-ins are installable file packages that can be used only from the Outlook desktop app. Plug-ins make changes directly to the user registry, which means they are somewhat vulnerable.
  • Add-ins add software functionality and can be installed across platforms (web, desktop, and/or mobile) from the Microsoft App source. Add-ins, which are cloud-based, conform to strict web security and privacy mandates.
We recommend that all customers install the Unified RingCentral Scheduler add-in, which is actively maintained by RingCentral and provides the latest scheduling and security features.

RingCentral offers the following plug-ins and add-ins:

RingCentral for Outlook plug-in

RingCentral Scheduler outlook plugin
  • Developed and actively maintained by RingCentral.
  • Supports video, voice, and text messaging features.
  • Supports RingCentral Meetings and RingCentral Video. 
  • Available only for Windows.

RingCentral Scheduler for Outlook Add-in

  • Replaces and combines the RingCentral Meeting and RingCentral Video add-ins.
  • Developed and actively maintained by RingCentral.
  • Supports RingCentral Meetings and RingCentral Video.

RingCentral Meetings for Outlook Plug-in

Legacy outlook plugin
  • Legacy plug-in (retired on December 10, 2021).
  • Developed by Zoom. Not actively developed or supported by RingCentral.
  • Requires the stand-alone RingCentral Meetings app.

When I add a meeting with RingCentral Scheduler, why do the meeting details appear at the end of the invitation?

RingCentral Scheduler adds meeting details at the end of invitation emails so those details do not disrupt any custom content.

How do I get RingCentral Scheduler to appear in the More menu of the Outlook invitation?

All of your installed Microsoft Outlook Add-ins appear in the More menu of a calendar invitation. To change the order of the items in this menu:

  1. Go to Settings in your Outlook Web account.
  2. Click View all Outlook settings > Calendar > Customize actions.
  3. Select RingCentral Scheduler.
  4. Click Save.

Does the RingCentral Scheduler add-in work on VMware VDI?

Yes. RingCentral Scheduler works with Horizon VMware and Citrix VDI. Contact RingCentral support if you’re having problems running the Scheduler add-in on your virtual machines.

I already logged in to the RingCentral MVP unified app. Why do I need to log in to RingCentral Scheduler again?

RingCentral Scheduler uses the Microsoft Outlook Add-in framework and resides in a different domain than the RingCentral MVP app. Although it’s not possible to share credentials between these applications, you can use your Single Sign-On (SSO) account to log in to RingCentral Scheduler once you’ve allowed Scheduler to display a login window.

Can the RingCentral Scheduler add-in be installed with EXE or MSI installers?

No. RingCentral Scheduler is a web-based application that uses an XML Manifest file. Learn more about this limitation
 
The RingCentral for Microsoft Outlook plug-in supports MSI installation.

Once you’ve installed RingCentral Scheduler, you can access it from your Outlook desktop, as well.

How does Microsoft’s retirement of Internet Explorer 11 affect the RingCentral add-in?

Microsoft stopped supporting Internet Explorer 11 (IE 11) on June 15, 2022. If you installed the RingCentral Scheduler add-in with IE 11 and run the add-in on Windows, you may experience problems with the add-in in Outlook.

If you’re using software on the “retiring” list, we recommend either of the following:
  • Upgrade to another Outlook version (depending on which version of Windows you’re using).
  • Switch to an application that best fits your needs such as the RingCentral for Outlook plugin or switch to  Outlook on a web browser.
