Sending and viewing messages in the RingCentral desktop and web app

Introduction to the RingCentral app

RingCentral App for Desktop: Enhanced Messaging - Using the Messaging Toolbar

You can send and view messages from one or more people on your team using the RingCentral app.

Send a message with the New actions button

  1. Open the RingCentral app on your desktop or web browser. 
  2. Click the New actions (+) icon in the top right corner.
  3. From the dropdown, select Send new message.

  1. In the Members field, enter one or more names or email addresses. Separate multiple entries with commas or semicolons.
  2. Enter your message in the Type new message field.
  3. Click Send.

Note: If you’re sending a message to a group of people, you can click create a team at the bottom of the New message window. Read more about creating a new team in the RingCentral desktop and web app.

Send a message from the search field

  1. Open the RingCentral app on your desktop or web browser.
  2. Click the Search field at the top.
  3. Enter the name of a person, group, or team.
  4. When you see the name of your desired contact, click it to open a conversation.
  5. Enter a message in the Message field.
  6. When you’re done, send the message by pressing Enter or Return on your keyboard or clicking Send (arrow icon).
Once you’ve sent your message, it will appear as the most recent message in your conversation.
 
Note: If your message wasn’t sent, the Resend post icon will appear in the far right corner of the message. Click it to try resending.

Send a Direct Message

  1. Open the RingCentral app on your desktop or web browser. 
  2. In the left navigation bar, click Message.
  3. Next to Direct Messages, click the Send new message (+) icon.

  2. Enter your message in the Type new message field.
  3. Click Send (arrow icon).
Note: If you’re sending a message to a group of people, you can click create a team at the bottom of the New message window.

Viewing a message

When you send or receive a message, you can view it by clicking Message in the left navigation bar. Your conversations are organized into three categories:
  • Favorites: Conversations you’ve marked with the star icon
  • Direct Messages: Messages sent directly to you from another user
  • Teams: Group conversations in which you’re a member

Message options

Select any of these options while writing to configure your message in specific ways.
  • Text formatting tools: Enlarges the Message field and gives you access to the following tools:
    • Bold
    • Underline
    • Italic
    • Strikethrough
    • Numbered list
    • Bulleted list
    • Increase indent
    • Decrease indent
    • Insert link
    • Insert horizontal line
  • Attach files: Lets you select a file from your computer or cloud storage services (Google Drive, OneDrive/SharePoint, Box, and Dropbox). 
  • Emoji: Opens the emoji menu, where you can scroll to find your desired emoji or enter keywords in the search field to filter the emoji picker.
  • GIF: Lets you select a GIF from the GIPHY library or search for one by entering keywords in the search field.
  • New task: Post a task to the current conversation.
  • New event: Add a new event to the current conversation.
  • New note: Write a long-form, formatted document and attach it to the current conversation.
  • New code snippet: Post a new code snippet to the current conversation.

Text formatting tools

The rich text editor lets you edit and format your messages. You can preview formatted text and edit it before sending.
 
The rich text editor offers the following options:
  • Bold
  • Underline
  • Italic
  • Strikethrough
  • Numbered list (single-level list)
  • Bulleted list (single-level list)
  • Increase indent
  • Decrease indent
  • Insert link
  • Insert horizontal line
To use the rich text editor, click the Format message icon above the message field. As you start typing, the Send button will appear at the far right of the message.

The preview will remain when you switch between the plain text and rich text editors.

Sending a message and adding a new line break using the plain text editor

Go to Settings in the left navigation bar, then click Keyboard shortcuts. If Send a message using Enter/Return key is turned on, you can send a message by:
  • Pressing Enter/Return on your keyboard
  • Clicking the Send button at the far right of the message
To add a new line break, press Shift+Enter/Return on your keyboard.
 
Note: When you write a message, you’ll see Press Shift + Enter/Return to add a new line above it.
 
If Send message using Enter/Return key is turned off, pressing Shift+Enter/Return will send your message.

Sending a message and adding a new line break using the rich text editor

The setting for Send message using Enter/Return key won’t impact the rich text editor shortcut combination shown in Sending a message and adding a new line break using the plain text editor.
 
With the rich text editor, you can send a message by:
  • Clicking the Send button at the far right of the message
  • Using a keyboard shortcut: Ctrl+Shift+S (Windows) or Cmd+Shift+S (Mac)
To add a new line break, press Enter/Return on your keyboard.
 
Note: When you write a message, you’ll see Press Enter/Return to add a new line above it.

Using markdown in your message

You can use markdown in your message to format your text with styles such as bold, italics, underline, or strikethrough.
 
You have the following markdown options:
  • **bold** : bold
  • *italics* : italics
  • __underline__ : underline
  • ~~strikethrough~~ : strikethrough

Inline code formatting

You can use simple inline code in your message to add emphasis to your text. Doing so lets you highlight keywords. To highlight a word or phrase, use back quotes (`example text`) to create simple inline code.
