Sending a message in the RingCentral app for desktop and web

RingCentral App for Desktop: Enhanced Messaging - Using the Messaging Toolbar

As outlined in Intro to Message in the RingCentral app, you can use the RingCentral app on your desktop or web browser to start a conversation with one person (a direct message) or with a group of people (a group or team conversation). 
 
You can also send a message to people who don't use the RingCentral app. Doing so will send them an invitation to join so they can start communicating with you. To learn more, read Adding a new user to the RingCentral app desktop and web.
 
Note: Depending on the permissions set by your admin, external guest users may not be able to send messages.

Sending a new message using New actions

One way you can send a message is by using the New actions (+) button. When you send a message this way, you can start a new conversation with one person or a group of people.
  1. In the top bar of the RingCentral app on your desktop or web browser, click the New actions button at the far right. A dropdown will appear.
  2. Select Send new message.

  1. Enter one or more names or email addresses under Members. Separate multiple names or email addresses with commas or semicolons.
  2. Type your message in the Type new message field.
  3. Click Send.
Once you’ve sent a new message, that conversation will appear at the top of your conversations list.

Note: If you’re sending a message to a group of people but decide you’d like to create a team instead, you can click create a team at the bottom of the New message window. Read Creating a new team in the RingCentral app desktop and web to learn more.

Sending a message using the search field

  1. Click the search field at the top of the RingCentral app on your desktop or web browser.
  2. Begin typing the name of a person, group, or team to view a list of options.
  3. Once the desired name appears, click it to open a conversation.
  4. Begin typing a message in the message field.
  5. Once you’ve written your message, send it by pressing Enter or Return on your keyboard.
Once you’ve sent your message, it will appear in the conversation as the most recent message.

Note: If your message wasn’t sent, a Resend post red looping arrow would appear in the far right corner of the message. Click the arrow to try resending.

Selecting any of these options while writing will let you configure your message in specific ways.

Text formatting tools

The rich text editor lets you edit and format your messages. You can preview formatted text and edit it before sending.
 
The rich text editor offers the following options:
  • Bold
  • Underline
  • Italic
  • Strikethrough
  • Numbered list (single-level list)
  • Bulleted list (single-level list)
  • Increase indent
  • Decrease indent
  • Insert link
  • Insert horizontal line
To use the rich text editor, click the Format message icon above the message field. As you start typing, the Send button will appear at the far right of the message.

The preview will remain when you switch between the plain text and rich text editors.

Sending a message and adding a new line break using the plain text editor

Go to Settings in the left navigation bar, then click Keyboard shortcuts. If Send a message using Enter/Return key is turned on, you can send a message by:
  • Pressing Enter/Return on your keyboard
  • Clicking the Send button at the far right of the message
To add a new line break, press Shift+Enter/Return on your keyboard.
 
Note: When you write a message, you’ll see Press Shift + Enter/Return to add a new line above it.
 
If Send message using Enter/Return key is turned off, pressing Shift+Enter/Return will send your message.

Sending a message and adding a new line break using the rich text editor

The setting for Send message using Enter/Return key won’t impact the rich text editor shortcut combination shown in Sending a message and adding a new line break using the plain text editor.
 
With the rich text editor, you can send a message by:
  • Clicking the Send button at the far right of the message
  • Using a keyboard shortcut: Ctrl+Shift+S (Windows) or Cmd+Shift+S (Mac)
To add a new line break, press Enter/Return on your keyboard.
 
Note: When you write a message, you’ll see Press Enter/Return to add a new line above it.

Using markdown in your message

You can use markdown in your message to format your text with styles such as bold, italics, underline, or strikethrough.
 
You have the following markdown options:
  • **bold** : bold
  • *italics* : italics
  • __underline__ : underline
  • ~~strikethrough~~ : strikethrough

Inline code formatting

You can use simple inline code in your message to add emphasis to your text. Doing so lets you highlight keywords. To highlight a word or phrase, use back quotes (`example text`) to create simple inline code.
