Managing phone settings in the RingCentral app

In the RingCentral app, you can manage your phone settings by creating rules for how incoming calls are handled. You can also record custom voicemail greetings, choose a ringtone, and more. What you can manage will depend on your permissions.

To access your phone settings:
In the left navigation bar, click Settings.
In the left panel, click Phone.
Incoming calls
Call handling: Click Edit to set rules for how incoming calls ring on your RingCentral apps and devices and how missed calls are handled. Calls can follow these rules 24/7, or you can set a custom schedule for work hours and after hours.
Voicemail: Click Edit to set a greeting and PIN for your voicemail. If you set a work schedule, you can record a different greeting for after hours.
Ringtone: Click the dropdown and select the sound you’ll hear for incoming calls. Click the Play icon next to a sound’s name for a preview. To select a sound, click its name.
Auto-answer calls: Click the dropdown and select how long callers will wait before their calls get auto-answered. This setting won't apply when you're on an active call.
Outgoing calls
Default caller ID: Click the dropdown and select the number to display to the people you call.
Default fax ID: Select the number that will be displayed on the faxes you send.
Default text ID: Select the number that will be displayed to the people you text.
RingOut: Use another phone to make a call with your RingCentral number and Caller ID. Turn the toggle on or off for RingOut, then click Manage to enter the phone number you want to use to make a RingCentral call.
General
Extension settings: Click Edit to open the extension settings in your Admin Portal, where you can customize your profile, call screening, greetings, hold music, and more.
Heads-up display (HUD): Turn the toggle on or off for HUD. The HUD lets you create a list of extensions and call, text, and contacts in one place for monitoring. If the RingCentral desktop or web app is your default phone app, you can click Manage and turn on Ring when extensions I am monitoring receive incoming calls.
Default phone app for calling: Choose which app to use for making calls. From the dropdown, select either Use RingCentral (this app) or Use RingCentral Phone from the dropdown.
Note: RingCentral Phone is a separate, stand-alone app. This option will prevent calls from ringing in the RingCentral app on your desktop or web browser.
Region: Set your country code. The code appears for local dialing and phone number formatting. Your selection won’t affect your caller ID settings. Click Edit, then select your country from the dropdown. Click Save to confirm your changes.
Click Manage, then select a location from the dropdown, or click the plus icon to add a new location.
Click Save.
Click Confirm location.
Note: You can’t make calls without setting your emergency response location.
Use RingCentral for click to dial and fax: Launch the RingCentral app on your desktop automatically when you click phone or fax numbers in websites and supported applications. Available only in the RingCentral desktop app.
Silence incoming calls: Turn the toggle on to silence incoming calls.
Ringtone: Select your preferred ringtone.
Outgoing
Default Caller ID: Select the number that displays to the people you call.
Default fax ID: Select the number that shows up to the people you fax.
RingOut: Use another phone to make a call with your RingCentral number and Caller ID by turning the toggle on. If you haven’t added a RingOut number, you’ll be prompted to add one.
Direct dial data: If you turn RingOut off, you’ll need to select the connection you’ll use when you make outgoing calls. Tap Direct dial data and select Wi-Fi or mobile data, Wi-Fi or carrier minutes, or Carrier minutes only from the list.
