Managing phone settings in the RingCentral app

In the RingCentral mobile app and the RingCentral app on your desktop or web browser, you can manage your phone settings by creating rules for how incoming calls are handled. You can also record custom voicemail greetings, select your ringtone, and more. The settings you can manage depend on the permissions your admin has set.

Phone settings in the RingCentral app on your desktop or web browser

To access your phone settings:
  1. Go to Settings in the left navigation bar.
  2. Click Phone in the left panel.

Incoming calls

  • Call handling: Click Edit to set rules for how incoming calls ring on your RingCentral apps and devices, and for how missed calls are handled. Calls can follow these rules 24/7, or you can set a custom schedule for work hours and after hours. 
  • Voicemail: Click Edit to set a greeting and PIN for your voicemail. If you set a work schedule, you can record a different greeting for after hours.  
  • Ringtone: Click the dropdown and select the sound you’ll hear when you receive calls. Click the Play icon next to a sound’s name to hear a preview. To select a sound, click its name.

  • Default caller ID: Click the dropdown and select the number that will be displayed to the people you call. 
  • RingOut: Use another phone to make a call with your RingCentral number and Caller ID. Click the toggle to turn RingOut on or off, then click Manage to enter the number of the phone you want to use to make a RingCentral call.

General

  • Extension settings: Click Edit to open the extension settings in your Admin Portal, where you can customize your profile, call screening, greetings, hold music, and more. 
  • Heads-up display (HUD): Click the toggle to turn HUD on or off. With HUD, you can create a list of extensions and call, text, and monitor these contacts in one place. If the RingCentral app on your desktop or web browser is your default phone app, you can click Manage and turn on Ring when extensions I am monitoring receive incoming calls
  • Default phone app for calling: Choose which app to use for making calls. Select either Use RingCentral (this app) or Use RingCentral Phone from the dropdown. 
    • Note: RingCentral Phone is a separate, stand-alone app. Selecting this option will prevent calls from ringing in the RingCentral app on your desktop or web browser.
  • Region: Set your country code. This will be used for local dialing and phone number formatting, and your selection won’t affect your caller ID. Click Edit and select your country from the dropdown, then click Save to confirm your changes.
  • Emergency response location: Set your physical location for emergency calls. Click Manage, then select a location from the dropdown, or click the plus icon to add a new location and click Save. Click Confirm location. Note: You can’t make calls without your emergency response location set. 
  • Use RingCentral for click to dial and fax: Turn this on to launch the RingCentral app on your desktop automatically when you click phone or fax numbers in websites and supported applications. This is available only in the RingCentral app on your desktop.
  • Use standalone window for phone calls: Turn this on to manage your calls in a separate window from the main app. Click Manage to turn on Always keep phone call window in front.
  • Launch an external app or website for incoming calls: Turn this on to open incoming calls in an external app or website, like a CRM system or online database. Click Manage to set up.

Incoming calls

  • Call handling: Manage your call handling settings.
  • Voicemail: Set a default or custom voicemail greeting.
  • Silence incoming calls: Slide the toggle to silence incoming calls.
  • Ringtone: Select your preferred ringtone.

Outgoing calls

  • Default Caller ID: Select the number that will be displayed to the people you call.
  • RingOut: Use another phone to make a call with your RingCentral number and Caller ID. Tap to turn on. If you haven’t added a RingOut number, you’ll be prompted to add one.
  • Direct dial data: If you turn RingOut off, you’ll need to select the connection you’ll use when you make outgoing calls. Select Wi-Fi or mobile data, Wi-Fi or carrier minutes, or Carrier minutes only.

General

  • Extension settings: Tap to open the extension settings on your RingCentral MVP account, where you can customize your profile details, call screening, greetings, hold music, and more.
  • Region: Set the country and area code for your region. This is used for local and emergency dialing and phone number formatting.
  • Background noise reduction: Slide the toggle to reduce background noise during a phone call. You can turn this on or off during a call. 
  • Emergency location: Set your address for emergency services. Your mobile app uses your device’s default phone app to connect emergency calls.
  • My iPhone number: Enter your mobile phone number. This is used to make calls with your RingCentral number on your device’s carrier connection.
  • Integrated calling: Slide the toggle to allow RingCentral calls to appear in your phone’s call history.

Incoming calls

  • Call handling: Manage your call handling settings.
  • Voicemail: Set a default or custom voicemail greeting.
  • Silence incoming calls: Slide the toggle to silence incoming calls.
  • Ringtone: Select your preferred ringtone.

Outgoing calls

  • Default Caller ID: Select the number that will be displayed to the people you call.
  • Call back Caller ID: Select the number that will be displayed as your callback caller ID.
  • RingOut: Use another phone to make a call with your RingCentral number and Caller ID. Tap to turn on. If you haven’t added a RingOut number, you’ll be prompted to add one.
  • Direct dial data: If you turn RingOut off, you’ll need to select the connection you’ll use when you make outgoing calls. Select Wi-Fi or mobile data, Wi-Fi or carrier minutes, or Carrier minutes only.

  • Region: Set the country and area code for your region. This is used for local and emergency dialing and phone number formatting.
  • Remove my background noise: Slide the toggle to reduce background noise during a phone call. You can turn this on or off during a call. 
  • Emergency location: Set your address for emergency services. Your mobile app uses your device’s default phone app to connect emergency calls.
  • My Android phone number: Enter your mobile phone number. This is used to make calls with your RingCentral number on your device’s carrier connection.
  • Bluetooth headset: Slide the toggle to activate Bluetooth pairing and calling. Before making or taking a call using your Bluetooth headset, make sure it’s turned on by swiping down at the top of your mobile phone’s screen, then tap the Bluetooth icon.

Configuring Important Settings in the RingCentral App

On the Phone settings page, you can configure your default outbound Caller ID, country code, and area code formatting from the phone settings in the RingCentral app. You can also update your local emergency address if you need to contact emergency services.

To access your phone settings, select the Settings gear icon in the left navigation bar of the RingCentral app, and then click Phone from the left pane.

Configuring phone settings

On the Phone settings page, you can configure your account’s Incoming calls, Outgoing calls, and General settings.

Incoming calls

  • Call handling: Ring numbers sequentially or in a fixed order. You can add other phones like a mobile phone to receive calls when you do not answer your primary phone. 
  • Voicemail: Configure voicemail settings such as voicemail rules when a call is not answered and your voicemail greeting type. You can also record your greeting and set up a voicemail PIN. 
  • Ringtone: Select the sound you’ll hear when you receive incoming calls.

  • Caller ID: Select your default Caller ID for outbound calls.
  • RingOut: Use any phone to make a call with your RingCentral account and Caller ID. Click Manage to configure your RingOut number and confirm connection before your RingOut call.

General

  • Extension settings: Allows you to configure your extension settings. Click Edit to be redirected to the extension settings on your RingCentral online account, where you can update call routing, voicemail greeting, and more.
  • Heads-up display: Toggle on to enable the heads-up display (HUD) feature in the RingCentral app. The HUD also lets you see user extensions in real-time, whether available or engaged in a call. Click Manage to enable or disable notifications when someone you are monitoring receives a call.
  • Default phone app for calling: Select which app you'd like to use to make calls in this section. From the dropdown menu, select either Use RingCentral (this app) or Use RingCentral Phone.
    Note: RingCentral Phone is a stand-alone app, and selecting this option will prevent calls from ringing in the RingCentral app.
  • Region: Lets you set the default country and area code for your region. This will be used for phone number formatting and local and emergency dialing. Click Edit to set your Country and Area code on the popup window, and click Save to confirm changes.
  • Emergency location: Lets you update your physical address on record with RingCentral for emergency calls. Click Edit to update, then click Confirm location to save.
  • Use RingCentral for click to dial and fax: Allows you to select the RingCentral app as the default app to open when clicking on any telephone number. This setting is only available in the RingCentral desktop app.
  • Use standalone window for phone calls: Allows you to handle calls in a standalone call window separate from the main app. Click Manage to enable or disable Always keep phone call window in front.
  • Bring app to front: Automatically move the RingCentral app to the from when you haave an incoming call.
  • Launch an external app or a URL for Incoming calls: Your calls will automatically open an external app or URL when enabled.
