Setting your presence

In the RingCentral mobile app and the RingCentral app on your desktop or web browser, your presence lets other users know whether you’re available, busy, or offline. 
 
Your presence is indicated by the colored dot at the bottom right of your profile picture. You can set some presence indicators manually. Others are set automatically.

Presence indicators

  • Available: A green dot appears when a user is available to communicate. Available appears by default after you sign in.
  • Offline: A gray dot appears when a user is offline, has signed out, or has been inactive for at least 15 minutes. Occurs automatically.
  • Invisible: A gray dot appears when a user is offline or wants to appear as if they’re offline. Can only be set manually.
  • Do not disturb: A red dot with a white line appears when a user has turned off notifications for all RingCentral apps. Can only be set manually.
  • On a call: A red dot appears when a user is on a call. Occurs automatically.
  • In a meeting: A red dot appears when a user is in a meeting. Occurs automatically upon setting calendar presence.

Setting your presence

  1. Click your profile picture at the top left of the RingCentral app on your desktop or web browser.

  1. Hover your cursor over your current status.
  2. Select Available, Do not disturb, or Invisible from the menu.
Once you’ve selected a presence, the menu will close and the colored dot at the bottom right of your profile picture will reflect your selection. Anyone in your RingCentral network will see your presence.

Note: Any change in presence in one RingCentral app overrides your presence status in another. For instance, if you’ve set your presence as Do not disturb in the desktop app, then sign in to the mobile app as Available, other users will see you as Available.

Setting your calendar presence

You can sync your presence settings with your calendars to let other users know when you’re in a meeting.
  1. In the left navigation bar of the RingCentral app on your desktop or web browser, go to Settings > Calendars and contacts.

  1. Connect your Microsoft 365 calendar, Google calendar, and/or Apple calendar.
  2. Adjust the Calendar presence toggle to display the presence In a meeting whenever you have an event in one of your connected calendars, regardless of whether you’re actually in the meeting.

  1. Tap your profile picture at the top left of the RingCentral mobile app.
  2. Tap your current status, located under your profile picture.
  3. Select Available, Do not disturb, or Invisible.
Once you’ve selected a presence, the menu will close and the colored dot at the bottom right of your profile picture will reflect your selection. Anyone in your RingCentral network will see your presence.

Note: Any change in presence in one RingCentral app overrides your presence status in another. For instance, if you’ve set your presence as Do not disturb in the desktop app, then you sign in to the mobile app as Available, other users will see you as Available.

Setting your calendar presence: Android and iOS

You can sync your presence settings with your calendars to let other users know when you’re in a meeting.
  1. Tap your profile picture at the top left of the RingCentral mobile app.
  2. Tap Connected accounts.
  3. Connect your Microsoft 365 calendar, Google calendar, and/or Apple calendar.
  4. Adjust the Enable calendar presence toggle to display the presence In a meeting whenever you have an event in one of your connected calendars, regardless of whether you’re actually in the meeting.

Setting your presence

Changes made to your presence in the Admin Portal are reflected in all open RingCentral apps that are linked to your account.

Note: Only two presence options are available in the Admin Portal: Available and Do not disturb.
  1. Go to the Admin Portal and sign in.
  2. At the top right, click your profile icon.

  1. In the dropdown, click your current status, then select Available or Do not disturb.
In a few seconds, any open RingCentral apps will reflect your change in presence.

The presence indicator feature in the RingCentral app represents a user’s availability status. 
 
Your presence is indicated by the colored dot located at bottom right of your profile picture. Your presence can be:
  • System-triggered, which means the app sets your presence based on your current circumstances (e.g., you’re in a meeting, on a call, or offline).
  • Manually set, which overrides the system-triggered presence.

Presence types

  • Available: A green dot. This indicates the user is active and available to communicate. This presence can be system-triggered or set manually by the user.
  • Offline: A gray dot. This indicates the user is offline or inactive (for 15 minutes or more on their app or web browser), or has logged out of the app. This is a system-triggered presence but will appear the same as Invisible.
Note: If you are also logged in on the mobile app, the mobile status overrides the auto-inactive status.
  • Invisible: A gray dot. This will appear as if you’re offline. This presence can only be set manually.
  • Do not disturb: A red dot with a white line through the center. This will shut off all app notifications across mobile, desktop, and email. This presence can only be set manually by the user.
  • On a call: A red dot. This indicates the user is on a call and may not be available to communicate. This is a system-triggered presence.
  • In a meeting: A red dot. This indicates the user is in a meeting and may not be available to communicate. This presence is system-triggered.
Note: If you toggled on the Calendar presence, the blocked time on your calendar will change your presence status to Busy automatically. It cannot be manually changed to Available in this instance.  

Note: Free Users can see a RingCentral subscriber's Unified Presence. However, a Free User will ONLY be able to publish their own Presence status as Available, Offline/Invisible, or Do not disturb.

Setting your presence for desktop and web

  1. Select your profile picture at top right.
  2. Hover over the presence currently selected under your status (Available is the default) to expand a list of presence options.
  3. Select one of the presences from the list of options. Options include Available, Do not disturb, and Invisible.
Once you’ve selected a presence, the dropdown menu will close and your presence, indicated by the colored dot in your profile picture, will change to what you’ve selected.
