Using notes for phone calls in the RingCentral app

In the RingCentral app for desktop, web, and mobile, you can use AI-powered notes to summarize your phone calls automatically. When you turn on notes, your call will also be transcribed.

Note: This feature is part of the RingCentral AI Assistant, which is being introduced gradually over the coming months. Availability will depend on your plan.

Where do you want to use notes?

Turning on notes in the desktop and web app

You can turn on notes for your phone calls at any time in the RingCentral desktop and web app.

  1. The Notes and transcript panel will open to the right of the keypad. Click
    Notes
    on the keypad (a) or
    Start
    in the right panel (b).
    • To turn on notes for all future calls, click the toggle for
      Generate notes for all calls
      (c).

    • You can also turn on notes for all calls by clicking
      Phone
      (d) in the navigation bar, opening the
      Keypad
      (e), and clicking
      Notes off
      (f) to switch them on.

  2. A legally required announcement will play to all call participants indicating that transcription is on, and then the AI Assistant will begin transcribing the call and taking notes. The notes will be available right after the call ends, but you can click
    Preview notes
    to see what’s been noted so far.

    To refresh the preview with more recent notes, click
    Update

Stopping and resuming notes in the desktop and web app

You can stop taking notes at any time by clicking
Stop notes
on the keypad. When you stop taking notes, the transcription will also be stopped. Anything said on the call while notes are stopped won’t be transcribed or included in the notes.

To resume notes and transcription, click
Notes
on the keypad or click
Start
in the Notes and transcript panel. When you resume notes, transcription will also resume.

Using closed captions while notes are on

While using notes for a phone call, you can also turn on and manage closed captions.

  1. During a call using notes, click the
    CC
    button on the keypad.
  2. A captions panel will appear at the top.

    • When the panel is enlarged, you can use the controls at the top right to adjust the size of the captions, hide your own captions, turn on captions for all calls, or turn off closed captions (b).
    • You can use the controls at the bottom of the panel to mute or unmute yourself, show or hide the keypad or call menu, adjust your audio settings, and collapse the CC panel (c).

Viewing your call summary and notes in the desktop and web app

The call recap will be available immediately after the call ends and includes the following:

  1. Feedback
    : Click to report an issue.
  2. Copy
    : Click to copy the call recap content.
  3. Share
    : Click to share the call recap through message, text, or email.
  4. Call info
    : The name and phone number of the call participant. Click
    View call details
    for more call information.
  5. Notes
    : Notes include a one-line summary of the call, an itemized recap, and any tasks or followup items.

You can click the text field in the call recap to add or update the notes. You can use the formatting toolbar to format any text you add.

You can also find your call notes in your call history and the
Notes
tab.

  1. Click
    Phone
    in the navigation bar.
  2. Click the
    Notes
    tab.
  3. Click the call to show the call details (a), notes (b), and transcript (c).
    • Use the buttons at the right (d) to report an issue, or edit, copy, or share the notes.
    • You can also rate the accuracy of the notes by clicking the thumbs-up or thumbs-down icons (e).

Managing notes settings in the desktop and web app

You can manage your notes settings in the RingCentral app.

  1. Click
    Settings
    in the navigation bar.
  2. Click
    AI
    to manage:
    • Automatic notes
      (a): Turn the toggle on to automatically transcribe and generate notes for all calls.
    • Post-call summary
      (b): Turn the toggle on to show notes immediately after the call.

    . Turn the toggle on (a) to receive desktop notifications when call notes are posted.
