Sharing your screen using the RingCentral Rooms controller

If you’re in a meeting room and want to share your screen to the TV screen, click the Share button on the controller for step-by-step instructions.

  1. Tap Share screen.

  1. Open your browser. 
  2. Go to the URL shown on the screen. 
  3. Enter the meeting ID shown on the screen.

Share your screen if there’s no ongoing meeting

If there’s no ongoing meeting, you can still share your screen. Tap Share on the home screen, then follow the instructions to share your screen with Rooms.

If you want to turn the sharing session into a meeting with invited participants, tap Start meeting. Connected devices will be triggered, and a meeting ID will be generated. You can share the meeting ID with your invitees.

Sharing your desktop screen via Bluetooth

  1. Go to the Video tab in the RingCentral desktop app on your computer.
  2. Click Share in room. Note: You’ll need to enable Bluetooth on your computer.
  3. Choose the room you’d like to share your screen with, then click Select. Note: You can enter the meeting ID if the Room doesn’t appear on the list.

Sharing your desktop screen via meeting ID

  1. Go to the Video tab in the RingCentral desktop app on your computer.
  2. Click Share in room.
  3. Enter the meeting ID, then click Select.
    • If the Room is in a meeting, you can find the meeting ID on the Room’s host device screen.
    • If the Room isn’t in a meeting, tap Share on the controller to display the sharing instructions on the host device screen. You’ll find the meeting ID listed there. 

Sharing your laptop screen via HDMI

Connect your laptop to the Rooms host via the Magewell USB Capture HDMI Gen 2 capture device. Once your laptop is connected, its screen will be shared automatically.
 
Note: The Magewell USB Capture HDMI Gen 2 is the only HDMI capture device that Rooms currently supports.
 
There are two sharing modes via HDMI: Automatic and Manual.

Automatic HDMI sharing

To turn off automatic HDMI screen sharing:
  1. On the controller, go to Settings > General.
  2. Tap to turn off Automatic HDMI share.
Note: This setting is password-protected. Contact your IT admin if you need to change it.

Manual HDMI sharing

If Automatic HDMI share is turned off, you’ll need to share your screen manually when you’re in a meeting.
  1. Tap Share on the controller.
  2. Tap Using HDMI > Start sharing.
