RingCentral Video meeting recording data retention
RingCentral Video meeting recordings are stored for a maximum time of one year and are then automatically deleted. Note: You can enable email notifications once a meeting recording is ready to view, shared, or deleted.
Checking RingCentral Video meeting recording status
Go to Video via the left navigation bar.
In the left pane, click All recordings under Recordings.
Next to the meeting name, states like Loading or Failed will be shown. Meetings summaries and keywords will also show under the meeting name if available. Successful recordings will show a play button and its duration.
Managing recorded meetings summary
RingCentral Video meetings summary uses Artificial Intelligence (AI) technology to summarize meetings for users that help you find information during and after meetings easily as if you have your own assistant taking notes.
Editing a recorded meeting summary in the recording list
Go to Video via the left navigation bar.
In the left pane, click All recordings under Recordings.
Hover over the recording summary you want to edit and click Edit summary.
Enter a short summary in the Brief summary field. You can enter a maximum of 200 characters for the summary.
Add keywords in the Keywords field. You can enter up to 15 keywords separated by semicolons or commas.
Click Save.
Editing a recorded meetings summary via the recording details
Go to Video via the left navigation bar.
In the left pane, click All recordings under Recordings.
Click on the recording summary you want to edit. This will open the recording details.
Click the Edit button near the Participants list.
Edit the text in the Edit summary field. You can enter up to 10,000 characters.
Click Done to save.
RingCentral Video meeting summary controls
Highlights: Once you open a recorded meeting, you can play Highlights to only view the important events that transpired during the meeting.
Recording: Play the full recording.
Play/ Stop: Play or stop playback.
Maximize/Minimize: Maximize or minimize meeting recording window.
Summary: You can read this below the meeting name which is generated after the meeting.
Copy: Anyone who can access the meeting recording can copy the meeting summary. Only participants in the meeting have edit access.
Edit: You can edit the text to more accurately describe the meeting, or add capitalization and punctuation.
Participants: See the list of participants.
Transcript: Speech or audio is converted into a written text document.
Share: Click to share recording with co-workers.
Download: Download meeting recording.
Delete: Remove recording. RingCentral Video meeting recordings are stored for a maximum of one year, and are then automatically deleted. You can manually delete recorded meetings at any time.
Deleting RingCentral Video meeting recording
Go to Video via the left navigation bar.
In the left pane, click All recordings under Recordings.
Hover over the recording you want to delete, and click Delete or click More > Delete at the far right. Note: Additional options are available if you are a host deleting a meeting recording.
Click Delete to confirm.
Managing RingCentral Video meeting recording email notifications
Go to Settings via the left navigation bar.
In the left pane, click on the Video tab.
Click the Edit button at the far right of Video meeting settings.
Select General.
Under Send email notification, check the box next to each setting to enable. You have the following email notification options: Recording is ready, Recording is deleted, Recording is shared, and Meeting has ended.
