Using the RingCentral desktop and web app to manage RingCentral Video recordings

When you’ve recorded a RingCentral Video meeting, you can retrieve, share, and/or delete it at any time. To learn more, read Downloading RingCentral Video meeting recordings for desktop and web or Sharing a RingCentral Video meeting recording for desktop and web.

Checking RingCentral Video meeting recording status

To use the RingCentral desktop or web app to check whether your recording is ready:
  1. Click Video in the left navigation bar.
  2. Under Recordings, click All Recordings.
    • Next to the meeting name, you’ll see status indicators such as Preparing or Failed. Meeting summaries and keywords, if available, will appear under the meeting name. 
    • Next to the name of every successful recording is the Play (circled triangle) icon. Click Play to watch the recording.
    • Video durations are also listed next to the name of every successful recording.

Managing recorded meetings summary

RingCentral Video advanced meeting insights uses artificial intelligence (AI) to summarize meeting contents. This feature uses notes and transcripts to help you locate specific moments and keywords from your meetings.

  1. Click Video in the left navigation bar.
  2. Under Recordings, click All Recordings.
  3. To edit a recording summary, click the Edit summary (pencil) icon that appears when you hover over a recording’s name. If the icon is hidden, click the More (three dots) icon.

  1. Enter a short summary in the Brief summary field. You can enter a maximum of 200 characters for the summary.
  2. Add keywords in the Keywords field. You can enter up to 15 keywords separated by semicolons or commas.

  1. Click Video > Recordings > All recordings.
  2. To open a recording, click its name, or click the Play (circled triangle) icon next to its name. The video will open in a new window.  
  3. Click the Summary tab to the right of the playback window.
  4. In the Summary section, click Edit, then enter or edit text as you wish. You can enter up to 10,000 characters.

  1. Click Done.

RingCentral Video meeting summary controls

The Highlights feature lets you view important events from your meeting. To access video highlights:
  1. Click Video in the left navigation bar.
  2. Under Recordings, click All recordings.
  3. To open a recording, click its name, or click the Play (circled triangle) icon next to its name. The video will open in a new window.  
  4. Click the Highlights tab to the right of the playback window. Once you’ve selected the Highlights tab, the following options will appear below the playback window:
    • Play/Stop (triangle): Play or stop playback.
    • Mute/Unmute (speaker): Mute or unmute audio.
    • Settings (gear): Adjust playback speed to between 0.25x and 2x.
    • Enter/exit fullscreen (broken square): Enter or exit fullscreen mode. 
    • Topics: AI-generated topics are displayed below the playback window for all recordings that are longer than five minutes. You can edit topics by hovering over each topic name, then clicking the Edit (pencil) icon.
The following options appear to the right of the playback window:
  • Participants: Click the arrow to see the participant list.
  • Download: Click to download the recording. 
  • Delete (trash can): Delete recording. RingCentral Video recordings are stored for a maximum of one year, and are then automatically deleted. You can manually delete recordings anytime. 
  • Summary: AI-generated brief description, long description, and keywords from the meeting. 
  • Transcript: Complete, AI-generated transcript of the meeting. To play the recording from any point in the transcript, hover over any transcript section, then click the Replay transcript (circled triangle) icon.
  • Highlights: AI-generated keywords and key moments from the meeting. Hover over a highlight to see the following options:
    • Play (circled triangle): Play the video from that point.
    • Find in transcript (document): Takes you to that highlight’s location in the meeting transcript.
    • Delete highlight (trash can): Removes that highlight. Click Delete in the popup to confirm.

  1. Click Video in the left navigation bar.
  2. Under Recordings, click All Recordings.
  3. Hover over the recording you want to delete, then click More (three dots) > Delete at the far right.

Managing RingCentral Video recording notifications

  1. Click Settings via the left navigation bar.
  2. In the left pane, click on the Video tab.
  3. Click the Edit button at the far right of Video meeting settings.

  1. In the popup, click General.
  2. Under Send email notification, check the box next to each option you want to turn on. Your options are:
    • Recording is ready
    • Recording is deleted
    • Recording is shared
    • Meeting has ended

RingCentral Video meeting recording data retention

RingCentral Video meeting recordings are stored for up to one year, then deleted. Learn more about RingCentral’s data retention policies.

Note: You can turn on email notifications when a video recording is ready to view, shared, or deleted.
