Upgrading RingCentral Meetings Rooms to RingCentral Rooms

Upgrading RingCentral Meetings Rooms to RingCentral Rooms admin tasks

For those users with RingCentral Meetings Rooms, we will be migrating them over to RingCentral Rooms. 
 
Once your account has been upgraded, you will receive the same number of RingCentral Rooms licenses as you had with RingCentral Meetings Rooms.

Managing RingCentral Meetings and RingCentral Video settings

During the migrations, you will have a brief period to manage both types of Rooms (RingCentral Meetings and RingCentral Rooms) and their settings in the Admin Portal.
 
To manage and switch between these settings:
  1. Sign in to your RingCentral online account as an admin.
  2. Select Meetings from the top navigation bar. 
  3. Choose either RingCentral Video or RingCentral Meetings from the dropdown menu.
  4. Select Meeting settings from the left pane.

Steps to complete migration

1. Ensure your conference room hardware is compatible with RingCentral Rooms

Before you start migrating, check whether your devices are compatible with RingCentral Rooms.

2. Assign RingCentral Rooms permissions to an admin role.

To grant your admins access to configure your RingCentral Rooms company settings, you’ll need to 
  • assign RingCentral Rooms admin permissions to a role in the Admin Portal
  • and then assign that role to your admin users. Learn how.

3. Integrate your Microsoft Office 365 and Google Calendar with RingCentral Rooms.

Integrating your company’s calendar enables users to schedule, view, and join meetings in a room.

Note: You can use the calendar migration tool to update scheduled RingCentral Meetings to RingCentral Video invitations in bulk for all users. Learn more.

4. Create a RingCentral Room and assign it to a calendar in Admin Portal.

Ensure that your users can schedule a RingCentral Rooms meeting in the conference room by creating a RingCentral Room and assigning it to a calendar in RingCentral Admin Portal. Learn more

5. Migrate a phone number from RingCentral Meetings Rooms to RingCentral Rooms.

Reassign your phone lines from RingCentral Meetings Rooms to RingCentral Rooms, so your users can call using RingCentral Rooms. Learn more

6. Uninstall RingCentral Meetings Rooms from each controller and host device.

To prepare for the migration, uninstall the existing RingCentral Meetings Rooms from your controllers and host devices.

7. Install RingCentral Rooms on each controller and host device.

As an admin, you should install RingCentral Rooms on your Rooms-compatible controllers and host devices. Ensure your host and controller devices are compatible with RingCentral Rooms.

8. Sign in to the RingCentral Rooms controller and pair the host device.

Once you’ve installed RingCentral Rooms on the controller and host device, sign in on both devices and pair the host device to the controller. This process seamlessly connects the controller to the host device and eliminates extra peripherals, such as a mouse and a keyboard for the host device. 

9. Finish setting up your RingCentral Rooms controller.

Once you’ve paired the controller and host device, you can sign in to RingCentral Rooms on your controller and finish setting it up by configuring your Rooms settings. 
  1. Sign in to RingCentral Rooms on your controller.
  2. Tap the Settings gear icon at top right.
  3. Configure your meeting settings as needed on the General settings page.
  4. Tap Audio from the left panel.
  5. Ensure that the correct microphone and speaker are selected.
  6. Test your microphone and speaker and adjust those levels accordingly.
  7. Tap Video from the left panel.
  8. Choose the conference room camera you’d like to connect to.

Helpful hint!

Note: During migration, you can run either RingCentral Meetings Rooms or RingCentral Rooms on your Rooms controller. They cannot be run simultaneously.

If you currently have RingCentral Meetings Rooms, we will also be migrating you over to RingCentral Rooms. Your company admins will perform most of the required steps for this migration, but you must also perform the required steps to ensure your meetings run as expected. 

Steps to complete for the migration

1. Move your previously scheduled meetings to RingCentral Video

To ensure you don’t lose important meetings, update any recurring meetings with the new RingCentral Video dial-in phone numbers and meeting IDs. Learn more
